What Admins and Members Can Do

Roles and permissions in the shared workspace.

Use this when

You want to understand what each role can do in the shared workspace, or you need to know who has the authority to remove an item you did not share yourself.

Roles are set by your account administrator when a seat is provisioned. You cannot change your own role inside the app.

Admin can

  • View all shared recordings and projects in the workspace.
  • Open and download any shared recording uploaded by any team member.
  • Remove any shared item from the workspace, regardless of who shared it. The trash icon on a teammate's card shows the tooltip Remove (admin).
  • Share their own recordings and projects.
  • Add and edit annotations on any open recording.

Member can

  • View all shared recordings and projects in the workspace.
  • Open and download any shared recording that has finished uploading.
  • Share their own recordings and projects.
  • Remove shared items they personally uploaded.
  • Add and edit annotations on any open recording.

What only the case owner can do

The person who shared an item is its owner. Ownership is recorded at the time of sharing and cannot be transferred.

  • Only the owner (or an admin) sees the trash icon on their own cards.
  • Only the owner can re-share an item to push updated file contents. If a recording is modified locally after sharing, the owner must share it again to update the uploaded copy for teammates.
  • When a shared project is removed, only the owner or an admin can trigger that action — removing a project also deletes the uploaded recording files for all recordings inside it.

If it does not work

  • No trash icon visible on a card — you are a member and you did not share this item. Ask the original owner or a workspace admin to remove it.
  • You expect to be an admin but the icon is not showing — your role claims may not have refreshed. Sign out and sign back in to pull the latest entitlements.
